Club Update, December 2011
Welcome to the final, festively-styled edition of Club Update of 2011.  It has been an exciting year so far, but there is still a lot to come.  The New Year will see cup games coming thick and fast, leagues coming to their conclusion and of course the BUCS Championships, which sit alongside a host of Individual and Team Championships held after January.

But there is just as much going on off the field as there is on it.  It may only feel like you have been on the committee for a short time but now is the time to start looking to next year and a new committee. The first three items of this newsletter will help you do this.

Meeting
 
January Club Meetings
The next round of club meetings with me will happen in the first two weeks of term.  The meeting agenda is below but will revolve heavily around Club Development plans and your upcoming AGMs and club forms.

The timetable of available dates can be found here but the actual sign-up sheet is outside the Sports Development Office in the Munrow Sports Centre.  Please sign up to a session on this sheet and not via email unless you really can’t make it into the Munrow.

Three-Year Development Plans
To help your club plan for the future and to promote a better handover process between outgoing and incoming committees each club will be required to produce a rolling development plan detailing objectives over a three-year period.

The draft plan can be downloaded below and will form the basis of the January Club Meetings.  In time for this meeting we will require each club to come up with at least one objective in each of the areas, ready for discussion in the meeting.

Club AGM Procedures
Your club AGM is the process through which your club celebrates its successes, reviews developments and elects the following year’s committee. 

Although you won’t need to start thinking about organizing your club AGM quite yet (we'll be running through it in much more depth during the January meetings) it is worth looking at the procedures and beginning to let members know about the possibility of running for a position.

Get Involved Sports Fair
During your recent Mini-Forums, Tim Smith will have informed you about the second Get Involved Sports Fair, a key aspect of his manifesto to improve participation in sport.

All clubs who registered their interest to attend the Fair will soon be contacted by Tim with more details.

ALL CLUBS - Reducing Membership Fees: If you wish to drop your membership fees to encourage more members to join your club in the New Year or ready for the Fair then you must confirm the rates you wish to charge to me in writing by Friday 9 December.  You do not need to do this if the lower rates are already in your budget.

 

Fundraising
 
Fundraising Ideas
All clubs are required to bring in fundraising on top of membership, match fees and sponsorship to be able to afford everything in your budget.  While some clubs have made great progress in meeting their targets, a larger number of clubs are yet to begin at all.  The later you leave it the more likely it is that budgets will have to be revised to stop your club going into debt. 

So, to help get you on your way here are some useful links for you to browse for ideas and support:

  • The Guild of Students produces a range of great info sheets including this Pick & Mix Fundraising Booklet.
  • An A-Z of event ideas from Oxfam.
  • A detailed look into how to run a wide variety of events from the Institute of Fundraising; who knew such a thing existed?
  • And if that doesn’t inspire you take a look (with the sound on) at how not to organise a charity balloon launch from my previous job.  (This has since raised over £10,000 having been picked up by You’ve Been Framed-style programmes on three continents - a successful failure!)

Kukri Sponsorship: Usage Deadline
To ensure that your Kukri sponsorship is able to be used in this academic year your original deadline to place orders was 31 January 2012; this was to ensure that UBS were invoiced for all the goods this year so that orders would not eat into your sponsorship for 2012-13.

We have now agreed with Kukri for this deadline to be extended to Friday 17 February 2012 to take into account extra members that clubs may get after the New Year and the Get Involved Sports Fair.  Please note that this deadline is now non-negotiable; any sponsorship not used before this date will be lost.

You are still able to make kit orders that don’t use sponsorship up until the end of the second term (23 March 2012).

Team Photos 2012: Reminder
A reminder that the dates for Team photos have been announced as Wednesday 11 and 18 January 2012.

Sign-up sheets are available outside the Sports Development Office in the Munrow Sports Centre now; simply come along and chose your preferred slot.  All slots are on a first come first served basis and slots are beginning to fill so get in as soon as possible.


Golf
 
Club of the Month: Golf
Although a big mention goes to Netball, whose teams have had a great start to the season including an unbeaten start to the season, this month the award winners are Golf.

Both first and second teams top their leagues and remain undefeated: the 1s top Premier North by 5 points and the 2s have a 7 point lead in Midlands 1A.  In the same league as the 2s, the third team are doing well to keep relegation at bay against many other University first teams.  And to round off the club performance the 4s are 2nd in Midland 2A.

This is largely thanks to the work of the committee and coach Dr Matt Bridge who has introduced a wide range of strength and conditioning into the training schedule including posture work and the implementation of 3D screening to analyse player strokes.

Upcoming Dates
A few upcoming dates to be aware of in December and beyond:

7 Dec: Sports Night, 21:00, Guild of Students. The final Sports Night of term gives you one last chance to socialise with clubs before we break up the the holidays; just remember that after you leave the venue on a Wednesday night you are still responsible for your club members’ actions. Please ensure your club members leave the venue and go home quietly without disturbing residents.

9-20 Jan: Club Meetings, Sports Development Office. All the details including the timetable is above.  Attendance is mandatory for Club Captains and Treasurers but all committee members are welcome. The sign-up sheet is outside the Sports Development Office.

11 & 18 Jan: Team Photos, Munrow Squash Courts.  As detailed above, all sign-up sheets can be found outside of the Sports Development Office in the Munrow Sports Centre.

12 Jan: Club Captains’ Sports Forum, 17:00, Munrow Lecture Theatre. This mandatory for one person per club to attend.  Run by Tim Smith, your VPS, you will be brought right up to date with all of his work and how your club can tap into the opportunities available.
